About the Role

The Executive Project Manager is an entry-level position designed for recent graduates or individuals beginning their career in technology, consulting or project delivery. This role provides foundational support across the project lifecycle while developing the skills and knowledge required to progress into a Junior Project Manager role. You will assist the team in gathering information, documenting requirements, coordinating small tasks, and supporting communication between clients and internal teams. Over time, you will build familiarity with our Sugati product (Salesforce-based), travel industry workflows, and project delivery standards. This role offers a structured development path with clear progression steps into Junior Project Manager.

Role Purpose

To support the PM team by handling essential project administration, preparing documentation, assisting with requirement clarification, and helping coordinate internal processes. This role is designed to develop the skills needed to transition into a Junior Project Manager.

Key Responsibilities

1. Project Administration

a. Update project trackers, timelines, and internal task lists.

b. Prepare meeting agendas and circulate minutes and action points.

c. Maintain structured documentation repositories (e.g., Jira, Google Drive). d. Assist in compiling project reports for internal and client use. (e.g., Project Plan, Project Update)

2. Requirement & Documentation Support

a. Attend requirement gathering sessions with senior PMs and record/transcribe the calls.

b. Take structured notes (with screenshots where applicable) and turn them into clear requirement summaries for PM review.

c. Support preparation of requirement specifications and simple user guides. Some of the user guides will be screen recordings with narration.

3. Coordination & Communication

a. Help coordinate internal meetings with developers, PMs, internal product team and Sales team..

b. Follow up with internal teams on outstanding tasks under PM guidance.

c. Support sending routine client updates (e.g., confirming meeting times or sharing documents, summary email or project plan or status update.)

4. Quality Assurance Support

a. Assist developers in preparing test scenarios and recording results.

b. Help gather screenshots, examples, and evidence for PM sign-off.

5. Product and Industry Learning

a. Learn the Sugati product architecture and the Salesforce platform fundamentals.

b. Become familiar with travel industry processes, such as itineraries, bookings, tours and DMC workflows.

c. Shadow senior PMs to understand how bespoke solutions align with the Sugati core product.

6. Client Training Preparation

a. Support creation of training slides, guides and walkthrough notes.

b. Assisting in organising training sessions (without leading them initially)

7. Internal Process Improvement

a. Contribute to improving templates, processes and documentation.

b. Support light research tasks to help PMs assess solutions or industry practices.

Skills & Attributes Required

● Recent graduate or 0–1 year professional experience.

● Strong organisational and note-taking skills.

● Good verbal and written communication skills.

● Interest in technology, SaaS, or the travel industry.

● A proactive mindset and willingness to learn.

● Comfortable working across multiple tasks and priorities.

● Attention to detail, especially in documentation and follow-up.

Desirable (Not required)

● Exposure to project work during study, internship or part-time roles.

● Familiarity with tools like Jira, Salesforce, or similar.

● Basic understanding of CRM or Salesforce concepts (beneficial, not required).

● Any academic or volunteer experience involving coordination, planning or teamwork.
